Overview of Data Collection Services

Over the past few years we have developed and trained a team of professionals to provide specialist support to our clients in the area of print output device data collection, sometimes referred to as due diligence or print auditing. This service is primarily designed to help our clients who work in the field of managed print services when they require additional resources to manage larger projects. We can provide the assurance and comfort of nation wide coverage and quality service levels tailored to suit the specific requirements of the client. We can undertake end user training in addition when required, device dependent.

Methodology

The site audit and data collection is done in person by a visit to site and an examination of each machine. Additional information is gathered by discussion with on-site users which enables specialist user requirements to be recorded. This approach means that the specification of the data and information to be gathered can be totally flexible to meet client needs, and specific specialist information can be obtained in support of any proposals. It does not rely on devices being networked and can obtain fax information when required.

Site Audit Objectives

The objectives of the site audit activity are usually as follows:

 To record key details from each and every output device
 To map the physical location of each device on its’ building floor plan
 To document the detail on a Print Output Data Sheet or database

Deliverables

 A spreadsheet providing details of each device, and print volumes, by floor or by office location
 An asset database
 Each device location plotted on a floor plan
 Each device tagged for future reference
 A basis for providing suggested new asset list and device locations as part of a managed solution

Pricing model

Our services lend themselves to larger projects where additional resources are required and economies may be gained by careful project management utilising geographical grouping. Rates are available on a per device basis for larger projects. Should we be required to deliver our services on an ad hoc or small site basis as required a day rate will be agreed.

We have recently completed a major project covering over 1,000 sites and 40,000 devices for one client.
